Microsoft Dynamics CRM - Track Incoming Emails options

In the Dynamics CRM you can track the incoming emails for your contacts, leads etc., by default if you want to track an email you sent and you want the reply to be tracked in the CRM, from the Dynamics 365 for Outlook you choose to track this email or to set it as regarding for each email message, if you don't do this this wont be tracked, However, there is some options you can set to start tracking emails automatically as listed below,
  • All email messages. Tracks all email messages (sent and received) related to Dynamics 365 email messages. If you select this option, Dynamics 365 will track junk mail as well as business conversations, so choose this option carefully.
  • Email messages in response to Dynamics 365 email. Only replies to or forwards of email messages that have already been tracked will be saved as email activities. This is the most common option.
  • Email messages from Dynamics 365 Leads, Contacts, and Accounts. Tracks email messages only if they originate from someone with a Microsoft Dynamics 365 lead, contact, or account record.
  • Email messages from Microsoft Dynamics 365 records that are email enabled. Tracks email messages from all record types (including custom record types) that contain an email address field.

How we can set this?

Well, there is two options,
the first option to set this in the user account option from the CRM, as below,
  • Click on the settings icon on the ribbon in the right corner
  • Choose the Options button






  • Go to the Email view
  • and then choose one of the options you want, based on your needs
The Second Option, is to set this from the Dynamics CRM for Outlook, as below,
  1. In Dynamics 365 for Outlook, on the File tab, choose Dynamics 365, and then choose Options.
  2. In the Set Personal Options dialog box, on the Email tab, in the Select how Dynamics 365 for Outlook should integrate email with Microsoft Dynamics 365 section, select the Check incoming email in Outlook and determine whether an email should be linked and saved as a Microsoft Dynamics 365 record option.
  3. To specify whether to track all email messages or only certain types, in the Select the email messages to track in Microsoft Dynamics 365 section, in the Track list, choose the option you want to set.
